CheckPilot Programs
Refund Policy (AFC, Ground School & Exam Preparation Programs)
1. Scope
This Refund Policy applies to all CheckPilot training programs, including:
- Aerial Futures Club (AFC) Program
- Ground School Courses (including TP 15530-aligned training)
- Exam Writing & Preparation Programs
- Certification preparation (e.g., ROC-A, Transport Canada exams)
By registering and submitting payment, participants agree to the terms outlined below.
2. School Board–Scheduled Programs (Free Delivery)
Programs delivered in partnership with school boards (e.g., TDSB, PDSB, PVNCDSB, etc.) are:
- Provided at no cost to students
- Funded through institutional partnerships or program sponsorship
Important Notes:
- No refunds apply, as no tuition is charged
- Participants are expected to:
- Attend scheduled sessions
- Respect limited-capacity enrollment
- Repeated no-shows may result in:
- Removal from the program
- Ineligibility for future placements
Optional fees (e.g., certifications, materials) will follow the refund terms outlined below.
SECTION A — AERIAL FUTURES CLUB (AFC) PROGRAM
3. Program Overview
The Aerial Futures Club (AFC) Program facilitates STEM learning through applied, hands-on experiences and structured competition-based learning.
Students engage in:
- Aviation fundamentals
- Drone operations (conducted indoors under controlled conditions)
- Engineering challenges
- Real-world problem-solving activities
The program emphasizes:
- Applied STEM learning
- Critical thinking and problem-solving
- Team-based challenges and performance-based progression
- Exposure to real-world aviation and aerospace environments
4. Selection-Based Enrollment
The AFC Program operates on a selection-based model.
- If a student is not selected:
- Fees may be:
- Transferred to a future cohort, or
- Applied toward a summer or full-fee program
- Refunds may be issued upon request, less processing fees
- Fees may be:
5. AFC Administrative Fee
The administrative fee (e.g., $173) covers:
- Materials and consumables
- Program onboarding and coordination
- Certification facilitation
- Facility and operational costs
This fee is non-refundable once the program begins, except under exceptional circumstances.
6. AFC Withdrawal Policy
- 7+ days before start: Full refund minus $25 processing fee
- 3–6 days before start: 50% refund
- Less than 72 hours: No refund
- After program start: No refunds
Credits may be issued at CheckPilot’s discretion.
SECTION B — GROUND SCHOOL COURSES
7. Ground School Enrollment
Ground school programs include:
- In-person or online instruction
- Structured aviation curriculum (air law, meteorology, navigation, etc.)
- Access to digital learning platforms and materials
8. Ground School Refund Policy
- 7+ days before course start:
→ Full refund minus $50 administrative fee - 3–6 days before start:
→ 50% refund - Less than 72 hours before start:
→ No refund
9. After Course Start
Once a course has commenced:
- No refunds will be issued
- Includes:
- Partial attendance
- Missed sessions
- Failure to complete
At CheckPilot’s discretion:
- Transfer to a future cohort or course credit may be offered
10. Digital Access & Materials
- LMS access, course materials, and recordings:
- Are non-refundable once accessed
- May be revoked in the event of payment disputes
SECTION C — EXAM WRITING & PREPARATION PROGRAMS
11. Program Scope
Includes:
- Intensive prep sessions
- Mock exams and assessments
- Coaching (group or 1-on-1)
12. Refund Policy for Exam Prep
- 48+ hours before session:
→ Full refund minus $25 processing fee - Less than 48 hours:
→ No refund - Missed session / no-show:
→ No refund
13. Completed Sessions
- No refunds once a session has been delivered
- Applies to:
- Live sessions
- Recorded access
- Coaching sessions
SECTION D — CERTIFICATIONS & THIRD-PARTY FEES
14. Certification Fees
For certifications (e.g., ROC-A, Transport Canada exams):
- Fees paid to third parties are:
- Non-refundable once submitted
- Governed by the issuing authority’s policies
SECTION E — EXCEPTIONS & ADMINISTRATION
15. Exceptional Circumstances
Refunds or credits may be considered for:
- Medical emergencies
- Family emergencies
- Program cancellation by CheckPilot
If CheckPilot cancels a program:
- A full refund or transfer option will be provided
16. Transfers & Credits
- Transfers to another cohort may be permitted
- Credits may be issued:
- Valid for up to 12 months
- Subject to availability
17. Payment Disputes
Participants agree to contact CheckPilot prior to initiating:
- Chargebacks
- Credit card disputes
Unauthorized disputes may result in:
- Suspension of access to services
18. Policy Acceptance
By registering and submitting payment, participants confirm they:
- Have read and understood this Refund Policy
- Agree to all terms outlined herein
