AI & Privacy – Lyro AI Chatbot

What Lyro is and where we use it

On CheckPilot.ca, we use the Lyro AI Agent, a conversational chatbot provided by Tidio, to answer common questions and offer basic support through the chat widget on our website. Lyro uses large language models (LLMs) provided by Tidio (powered by Anthropic’s Claude) and is configured to answer based primarily on our own support content and frequently asked questions.

Lyro is used to support:

  • General questions about CheckPilot.ca programs and services

  • Basic technical support (e.g., login and access issues)

  • Directing visitors to the correct human support channel when needed

Lyro is not used to grade student work, make high-stakes decisions, or replace professional judgement by educators or school boards.

What information Lyro processes

When you use the Lyro chat on CheckPilot.ca, the following information may be processed:

  • The content of the messages you type (questions, responses, feedback)

  • Basic technical information provided by your browser (such as IP address, device type, language, and general usage data), which is required to deliver the chat service

  • Any contact details or other information you choose to share in the chat (for example, an email address so we can follow up)

This information is processed by Tidio, the provider of the Lyro AI Agent, to deliver the chat service and maintain its performance.

For school-board use, Lyro is treated as a service provider tool operating on our behalf. Any personal information processed through the chat is handled under the same safeguards and principles described in this Privacy Policy.

How we protect student and educator privacy

To align with K-12 student privacy expectations and ECNO’s guidance on the responsible use of generative AI in education, we apply the following safeguards when using Lyro:

Data minimization

  • We design our chat flows so that Lyro does not need full legal names, dates of birth, or other sensitive student data to answer general support questions.

  • For K-12 use, we strongly discourage students and educators from entering sensitive personal information (e.g., student names, IDs, health information, home addresses) into the chat.

No advertising or student profiling

  • Information from Lyro chats is not used for targeted advertising or to build marketing profiles about students or educators.

  • Any analytics we perform on chat conversations are used only to improve our support content and platform experience.

Limited training and internal improvement

  • We may review anonymized or aggregated chat logs to identify common issues and improve our help materials and platform features.

  • We do not use Lyro chat transcripts to train any public or consumer-facing AI models operated by CheckPilot.ca.

  • The underlying AI providers (Tidio and Anthropic) may process chat data in accordance with their own privacy and security commitments. We work to minimize personal information sent to these services and expect them to implement appropriate technical and organizational safeguards.

Retention and security

  • Chat logs are stored securely and are subject to the same retention, access, and deletion practices that apply to other support records described in this Privacy Policy.

  • Access to chat logs is limited to authorized personnel who need it to provide support, investigate incidents, or improve our services.

For school-board deployments, the use of Lyro is configured and monitored in collaboration with our education partners, and it operates under the same student data protections that apply to our other support channels.

Your choices and responsibilities

Alternative contact options

If you prefer not to use Lyro, you can always contact us directly via email or other published support channels.

What not to share in the chat

To help protect student privacy, we ask all users—especially educators and students—not to enter:

  • Full legal names of students

  • Student ID numbers or other unique identifiers

  • Health or special education details

  • Home addresses, phone numbers, or other highly sensitive information

If sensitive information is accidentally submitted, you may contact us to request that we review and, where appropriate, delete specific chat logs in line with your access and deletion rights under this Privacy Policy.
