How CheckPilot Uses Student Information
Information for Students, Families, and Learners

CheckPilot is an online learning and simulation platform used by schools, school boards, and flight training organizations. This page explains, in plain language, how we use and protect information about:

K–12 students using CheckPilot through a school or school board

Teenagers and adults using CheckPilot through a flight school or training provider

Individual adult learners who may use our programs directly

1. What is CheckPilot and who uses it?
CheckPilot is used in several ways:

K–12 programs run by school boards and schools

Flight training programs run by flight schools and aviation training organizations

Other aviation/STEM courses for teenagers and adult learners
Programs may use CheckPilot to:

Deliver aviation and STEM lessons

Run flight-simulator exercises

Track lesson progress, attendance, and assessments
Each school, board, or flight school decides:

Who is enrolled

Which courses are used

How CheckPilot fits into their program
2. What information do we use for K–12 students?
When CheckPilot is used through a K–12 school or school board, we collect only the information needed to run the program safely and properly.
This typically includes:

A student number or board-assigned ID (for example, 123456 or “student01”)

Which class, course, or group you are in
-
Your lesson progress (what you have completed)

Your quiz or assessment results inside CheckPilot

Basic technical information needed for security and troubleshooting, such as:

IP address and device type
-
Date and time you log in

When you start and finish a lesson

We use this information to:

Let you log in and use the platform

Show teachers and school staff how you are doing in the course

Keep the system secure and running properly
3. What information do we use for flight school students and adult learners?
When CheckPilot is used through a flight school or other training provider (including programs where teenagers enroll as part of a youth or pre-solo course), we may need some additional information, such as:

Your name

Email address or other contact details

The flight school or organization you’re training with

Course or program details (e.g., “PPL Ground School”, “Simulator Training Module 1”)

Your lesson progress, simulator activity, and assessment results

The same basic technical information (IP address, device type, login times) for security
This helps the flight school or training provider:

Track your training progress

Maintain training records
-
Provide support and, where relevant, meet aviation training requirements
Even in these cases, we still avoid collecting more personal information than is reasonably necessary for the program.
4. What we do not collect for K–12 school board students
For K–12 school board accounts, CheckPilot is designed on a data-minimal basis.
We do not require:

Your full legal name to be stored in the student-facing system

Your date of birth
-
Your home address or parent contact details
-
Your personal email address (we rely on board-approved accounts where needed)

Your general web browsing history outside CheckPilot
We also do not:

Use student information for targeted advertising
-
Sell student or educator personal information
-
Build marketing profiles about students based on how they use CheckPilot
5. How are teachers, instructors, and staff shown?
Teachers, instructors, and staff may create accounts using:

Their name
-
Work email address
-
Their role (e.g., teacher, flight instructor, coordinator)
-
Their school, board, or flight school
However, from a student or learner view:
-
In K–12 environments, educators are usually shown by a course name, digital ID, or instructor label, not by their full name.

For flight schools, instructors may appear by name where this is part of normal aviation training practice, but this is managed and approved by the training provider.
The connection between an educator’s identity and any digital ID is handled securely and is not made publicly visible on the open web.
6. Where is information stored?
For K–12 school boards and education-sector programs:

Student and educator personal information is stored and backed up on systems located in Canada.

Our production servers and primary backups for these programs are in Canadian data centres.
-
We do not routinely host or mirror student or educator data on servers outside Canada as part of normal operations.
For flight schools and adult learners, data is also stored primarily on Canadian infrastructure. If a specific partner program involves any different hosting arrangement, that would be covered in our agreement with that partner and handled with appropriate protections.
7. Who can see my information?
Access is limited to people who need it to support your learning or protect the system, such as:

You, the learner

Your teacher, instructor, or course staff

Authorized school, board, or flight school administrators

CheckPilot support staff, only when necessary to fix a problem or investigate a security or performance issue
We use role-based access controls, logging, and other security tools to:

Limit who can see what

Track access to learning records and sensitive areas
We do not share your learning information with:

Advertisers
-
Social media platforms
-
Unrelated third parties
We do use some secure service providers (for example, cloud hosting or security tools), but they are under contract to:

Use your data only to help us run CheckPilot

Protect it with strong security measures
-
Never use it for their own marketing or profiling
8. How long do you keep information?
We keep your information only as long as needed to:

Run the course or program
-
Provide records that your school, board, or flight school needs
-
Meet security and legal requirements
For example:

Course and lesson records are kept for the duration of the course and a limited time afterwards so educators and institutions can complete required reporting.

Security and system logs (such as login attempts) are kept longer to help detect and investigate security issues.
After that period, your information is either:

Deleted, or
-
Permanently anonymized so it can no longer be linked to you personally.
If a school board or flight school asks us to delete certain data earlier (and the law allows it), we follow their instructions.
9. Website chat and AI assistant
Our public website may include a chat assistant (sometimes AI-powered) to answer questions about:

Programs and services
-
Basic technical support (for example, login issues)

Where to get further help
When you use the chat, we process:

The messages you type
-
Basic technical details (IP address, browser, device) needed to deliver the chat and protect it
This chat:

Is not used to grade student work or make high-stakes decisions about learners

Is not used to show targeted ads or sell your information
For personal questions about marks, enrollment, or your training record, your best contact is still your teacher, school, or flight school.
10. Your choices and questions
Because CheckPilot is used through schools and training organizations, the best first contact for questions is usually your:

School or school board (for K–12 programs), or

Flight school / training provider (for aviation or adult programs)
They can:

Explain how they use CheckPilot

Help you review or correct information in your education records

Tell you about any local policies or consent processes they use
You (or your parent/guardian, if applicable) can also contact CheckPilot directly with questions about how we handle information or about the security of the platform.
